BACKGROUND
- Client located in Orlando, Florida offers dedicated golf event and tournament services around the world.
- Through the client’s entertainment planning services it saw the need to create an automated system to connect Golf Groups with Golf Courses to create memorable golf event experiences.
SCOPE
- Client required an easy to use RFP system that would cater to Golfers, Event Planners and Golf Courses.
- The completed system would allow Golf Groups and Event Planners to send requests out to one or more Golf Courses for quotes and then respond on-line, compare RFQs, and select the winner.
- Create a fully automated process from start to finish that requires very little, if any administrative support.
SOLUTION
- The completed solution provided the Client with a simple bidding software for golfers to solicit bids from golf courses who are interested in hosting the group.
- The system addressed the needs of three different user registration groups – Golfers/Event Planners, Golf Courses, and the GolfRFP Admin.
- The entire system is completely email driven for easy notification of RFP requests, responses, and need for additional information. Users also receive notification alerts once they login if they need to perform any actions.
- There is a simple on-line bid award process that enables instant communications to the winning Golf Course.

Golfers are able to easily:
- Login/Register.
- Submit their requests and golf course needs through the GolfRFP system.
- Manage the entire bidding process easily with a set of easy to use system of web-based tools.
- Ask questions to the bidders for more details.
- View comparison of all Golf Course bidders to easily compare bids.
- Sign contracts.
- v View/modify profile.
- Use the interactive map view to locate the premier and normal clubs across US and Canada.
- Receive email notifications/alerts on various actions which they need to perform on their active requests, offers etc.

Golf Courses are able to:
- Login/Register.
- Quickly create client-centered proposals.
- View/modify profile.
- Accept signed contracts.
- Pay invoices from the GolfRFP system.
- Receive notifications on various actions which they need to perform on their active requests, offers etc.

GofRFP Admin:
- Submit contracts to Golfers/Event Planners on behalf of the Golf Courses.
- Submit invoices and collect payment from Golf Courses.
- Assist Golfers and Golf Courses from backend in finding appropriate information through requests, offers and agreements.
- Facility to create various promotional codes and share those with the prospect courses to get various discounts while registering or upgrading account.
- Facility for admin to manage various news related with Golf, through which admin can keep the users updated and keep traffic coming to website.
